Operational planning RV Polarstern

The document „Einsatzplanung“ serves as a central collection point for the relevant logistic demands of the chief scientist, the scientifc groups and the department of logistics and research platforms on ship and ship operator.

The operational planning is officially given over by AWI ship coordination to the ship operator at the beginning of the expedition.

The purpose is to bundle the important information from several Emails of the participants, chief scientist and AWI ship coordination in a single document.

The chief scientist has a special role because he as well has to be well aware of all the issues treated in the operational planning during the expedition preparation at all times. It is the common task of chief scientist and ship coordination to ensure that all issues are settled at the beginning of the expedition.




The document "Einsatzplanung" is filled out by the chief scientist for the first time during the cruise planning meeting and afterwards sent to AWI ship coordination. The document is stored in a cloud by AWI ship coordination so that chief scientist and ship coordination can work on it simultaneously. The chief scientist collects the demands of the expedition participants and discusses their feasability with AWI ship coordination. Afterwards he fills in the information into the document.

There must be only one document "Einsatzplanung" in the cloud storage. Working with local copies is not permitted because it inhibits parallel working and may result in different versions of the document.

The form of the document must not be changed. It is part of the ISM-documents of the ship which are mandatory by maritime law. The ISM-documents are authorized by the BSH and must not be changed without consultation.

The document is closed 3 weeks before expedition start and send to the ship operator as obligatory instructions after agreement of chief scientist and AWI ship coordination. Until then comments, questions and other notes may be taken up into the document. They are deleted by AWI ship coordination before sending the document.
AWI ship coordination eventually modifies the document in order to change its state from a flexible document to an obligatory instruction.
