Everyone who has been invited by the related working group leader or the expedition leader of an expedition, gets an automated mail-invitation with a link to the EIS system.
If you have not been invited any time before, you will get a registration link for the self-service-process to create your account in EIS.
As soon as you have registered or logged in to EIS, you are deviated to "My participation information". Here you find the expeditions you are invited to:
The information above your expedition number (marked in red) show a link to the deadlines for expeditions (marked in green). You should spread this link to the personel, that will not travel with you but need the information as they work for you e.g. technical personel.
Clicking on the number of your expedition, you will be lead to the details of your participation you need to propvide to take part in the expedition.
Details are such as:
- contact data - please enter your personal contact details, your emergency contact and your business information here
- journey date - please enter your passport details and upload a copy of it; if you need a visa, enter the information and upload an image of it.
We additionally want to know if you take part in group flights, your roommate you would like to share your cabin with, the email address for weekly reports
and your menu preferences and food intolerances, if applicable - important information - you have to read, understand and act according to the documents. This needs to be check marked by yourself which in this case is equivalent to your signature
- obligation to submit scientific data - confirmation needed, that achieved data on this expedition will be published
- depending on your operation area: participation in the environmental protection workshop OR polar bear protection course - you have to take part in the environmental protection workshop or the polar bear course, depending on your operation area. Please upload your certificate here.
- medical examination - you have to take part in a medical examination, therefore you have to complete the medical questionaire in advance and you can download the particular template here.
- employer declaration / certificate of enrollment - you need to upload your matriculation certificate if you are a student, if you are an employee, please upload your "Declaration of the Employer", you can download the template here.
- image rights - you can accept or decline whether you offer your images to be published in AWI papers or not
- naming rights - you can accept or decline whether you offer your name to be published in AWI papers or not
- clothing store and fitting date - if you need the clothing AWI provides for expedition participants, please download the clothing template here, fill it in and send it back. The template can be filled with Adobe Acrobat Reader - please use this opportunity. If you need a fitting date, please confirm it here, wait for the clothing list uploaded from you to be confirmed and enter your fitting date here.
